Build Code QA respects your privacy and aims to handle personal information responsibly, transparently and only for legitimate business purposes.

Some small businesses are exempt from parts of the Privacy Act 1988 (Cth). Regardless of whether a statutory exemption applies, Build Code QA follows the practices described in this policy.

2. Information We Collect

Depending on your dealings with us, we may collect:

• the construction-site address and project details;
• builder, site-supervisor and project-contact information;
• preferred inspection dates, access instructions and booking notes;
• drawings, specifications, photographs, reports and project correspondence;
• booking, invoice and payment-status information;
• electronic acceptance records, including document versions and timestamps;
• website or booking-system technical information reasonably required for security and operation; and
• other information you provide when contacting or engaging us.

3. How We Collect Information

We generally collect information directly from you through the website, online booking portal, telephone, email, meetings and site attendances.

We may also receive relevant project information from your builder, designer, engineer, representative or another person involved in the project.

4. Why We Use Information

We may use personal information to:

• respond to enquiries and assess booking requests;
• calculate fees and arrange, confirm or reschedule inspections;
• communicate with you, the builder and relevant project participants;
• perform inspections and prepare, issue and retain reports;
• process payments, invoices, refunds and accounting records;
• manage agreements, complaints, insurance and legal obligations;
• operate, secure and improve our website and business systems; and
• maintain business records and protect our legitimate interests.

We do not sell personal information. We will not use your contact details for unrelated marketing unless you have agreed to receive it or the law otherwise permits it.

5. Payments

Online payments are processed by the payment provider identified at checkout. Build Code QA receives payment confirmation and transaction information needed to manage the booking, but does not receive or store your complete payment-card details through its booking form.

The payment provider handles information under its own privacy policy and security practices.

6. Service Providers and Disclosure

We may disclose information where reasonably necessary to service providers that support our business, including website hosting, online payments, email, cloud storage, document delivery, accounting, information technology, professional advice and insurance.

We may also disclose information:

• to a builder, designer, engineer or project participant where you request or reasonably expect this;
• to an insurer, lawyer, accountant or professional adviser;
• where required or authorised by law, court order or regulatory process; or
• where reasonably necessary to prevent a serious threat, fraud or unlawful activity.

We take reasonable steps to disclose only the information necessary for the relevant purpose.

7. Cloud Services and Overseas Processing

Build Code QA uses online and cloud-based systems, which may include Google, Square and other service providers. Those providers may store or process information in Australia or overseas.

The locations and practices of those providers may change. Their handling of information is governed by their own terms and privacy policies as well as any applicable law.

8. Photographs and Inspection Records

Photographs, videos, measurements, field notes and reports may be created during the service and retained as part of the project record.

We will not deliberately publish identifiable client or project information for advertising or public case studies without permission, unless the information has been appropriately de-identified.

9. Storage and Security

Information may be stored in electronic business systems, cloud storage, email, accounting records and inspection files. We take reasonable administrative and technical steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure.

No online system is completely secure. You should avoid sending sensitive information unless it is reasonably necessary for the service.

10. Retention and Disposal

We retain information for as long as reasonably required to provide the service, maintain project and business records, respond to enquiries or disputes, meet insurance requirements and comply with legal, taxation and accounting obligations.

When information is no longer reasonably required, we may securely delete, destroy or de-identify it, subject to backup and record-retention processes.

11. Access and Correction

You may contact Build Code QA to request access to personal information held about you or to ask that inaccurate information be corrected.

We may need to verify your identity. In limited circumstances, access may be refused where permitted by law or where disclosure would unreasonably affect another person's privacy. We will explain the reason where appropriate.

12. Website Links and External Services

The website and booking process may link to external services. Build Code QA is not responsible for the privacy practices or content of an external website or service.
